GPS time tracking for contractor crews

Employees clock in from the job site. Location, geofence status and notes are captured with every shift — no paper timesheets, no guesswork.

In short

GPS time tracking uses a phone's location to verify when and where a crew member clocked in and out. Work Pilot pairs the GPS clock with per-site geofences, notes, and an owner-approved review queue — so hours flowing into payroll are accurate and auditable.

The problem this solves

  • Guessing at hours from memory at the end of the week.
  • Paper timesheets that arrive late or not at all.
  • No way to prove someone was actually on-site.
  • Payroll and job costing built on estimates instead of real data.

How it works

Built for the day-to-day of a small contractor crew.

One-tap clock in / out

Employees clock in from the mobile app. Time, GPS location and optional notes are captured automatically.

Per-site geofences

Draw a geofence around each job site. Shifts are flagged when clock-in happens outside it.

Owner approval queue

Every shift lands in a review queue with names, locations, geofence status and notes. Approve or reject in seconds.

Full shift audit trail

Tap any shift to see in/out timestamps, GPS coordinates, geofence match, and notes the employee added.

Employee self-service

Team members see their own shift ledger and payment history — no one else's.

Owner controls

Only owners approve and edit hours. Employees can't approve their own or their peers' shifts.

Who uses this

Electricians: Verify on-site time for service calls across many small addresses in a day.
Roofers: Track full-crew hours per job site with geofences at each address.
General contractors: Long jobs where accurate hours drive both payroll and profitability.
Cleaning companies: Confirm crews arrived at the right property before invoicing recurring clients.

Frequently asked questions

How does GPS clock-in verification work?+

When an employee clocks in, the app captures their GPS coordinates and compares them to the geofence configured for that job site. Shifts outside the geofence are flagged in the review queue.

Can employees edit their own shifts?+

No. Employees can add notes, but shift approval and edits are restricted to owners so hours flowing into payroll aren't self-served.

Does it work offline?+

The app captures a clock-in even without connectivity and syncs the shift once the phone is back online.

What about privacy?+

GPS is captured only on clock in/out and while a shift is active — not silently in the background.
